People are managed under Copy room settings, People. Only administrators and the account owner can add or change people.
Roles
- Teacher. Sends work to the copy room and sees their own requests.
- Copy room staff. Runs the queue, prints, marks finishing done, hands work over.
- IT administrator. Everything above, plus printers, presets, forms and people.
- Account owner. Everything, plus billing and invoices.
Inviting someone
- Choose Invite someone.
- Enter their Email address, an optional Department, and what they should be able to do.
- Choose Send invitation. They get a one-time link that lasts one week.
Pending invitations are listed separately under Invited, not yet accepted and can be withdrawn.
Changing or removing access
Change a person's role from the dropdown on their row. Remove access with the bin icon; it is confirmed by a slide. They lose access on their next request. Inviting them again restores it. You cannot remove your own access.
Letting Google accounts join automatically
A school with 200 teachers should not need 200 invitations. On the Access tab of Copy room settings, turn on Let school Google accounts join automatically and list your Allowed domains, one per line, as the part after the @, for example saracademy.org. A true subdomain such as staff.saracademy.org is accepted automatically. Choose what they get on joining: Teacher (the safe default) or Copy room tech.
KyberCopy refuses to save auto-join with an empty domain list or with a public domain such as gmail.com, because either would let any Google account in.
Departments
A person's department comes from the Department field on their invitation. Departments appear on the Departments page once someone has one. Each department can have a Budget holder who approves its requests, a budget for the period, and a threshold so only requests over a certain cost are held. See Approvals and budgets.
The People page in the side navigation, visible to copy room staff and above, shows what each person has printed. Teachers cannot see other people's volumes.
