Email intake lets teachers send a document to a copy room address and have it become a request. KyberCopy does not take over your mail. You forward one mailbox to an address KyberCopy owns, which is reversible in one click.
Turn it on
- Go to Copy room settings, Email intake tab.
- Turn on Email intake. Keep Web portal on as well unless you mean to close the request form; KyberCopy refuses to save with both off.
- Optionally set Accept email only from your school's domains, one per line. Leave empty to accept any sender, which is rarely what a school wants.
- Save settings.
Set up the forward
The tab shows your school's KyberCopy intake address with a Copy button. Then follow the steps on the tab:
- Create or open the mailbox teachers will use, for example
copyroom@yourschool.orgin Google Workspace. - Add a forward from that mailbox to the KyberCopy address. Keep a copy in the mailbox if you want a record on your side.
- Tell teachers to send to their own copy room address. They never see KyberCopy's. This step completes itself when the first email arrives.
Your MX record is never changed, so nothing else on your domain is affected. Removing the forward switches intake off instantly.
Who can send
Only people already added to this copy room can send by email. A message from anyone else is refused and the sender is told why. Membership is the real check, because addresses in email are easily forged.
Checking that it works
The tab lists recent messages with the sender, time, and whether each was accepted or refused with a reason, such as "sender is not a member here", "no printable attachment", "attachment over the size limit", or "no printer was ready". Use it to answer "did my email arrive?" without guessing. The Status tab also has a check for email requests.
What an emailed request looks like
Email requests use the first preset and its printer. KyberCopy reads clear instructions like copy count and sides from the message and records what it read in the job's note. Anything it could not act on puts the job on hold for a person. See Submitting a job by email for the teacher's view.
