Device Tracking & Lost Mode

Overview

KyberGate Device Tracking lets you see where every managed device is in real-time. Using a combination of GPS, WiFi triangulation, and IP geolocation, you can locate any device in your fleet — whether it's in a classroom, at a student's home, or somewhere it shouldn't be.

Lost Mode takes it further: with one click, you can lock a missing device, display a custom message with a contact number, and track its location until it's recovered. Think of it as Find My iPhone for your entire school fleet.

Prerequisites

  • Admin or Device Manager role in the KyberGate dashboard
  • Devices enrolled in KyberGate with the agent installed
  • Location services enabled on managed devices (configured during enrollment)
  • For GPS accuracy: devices must have GPS hardware (iPads, some Chromebooks)

Steps

Step 1: Open the Device Map

Log in to the KyberGate dashboard at dashboard.kybergate.com. Click Devices in the left sidebar, then select the Map tab. You'll see all your devices plotted on an interactive map.

Step 2: Find a Specific Device

Use the search bar at the top of the map to search by device name, serial number, asset tag, or assigned student name. The map will zoom to that device and highlight it.

Step 3: View Device Location Details

Click on a device to see its location card, which includes current location, location source (GPS, WiFi, or IP), last updated timestamp, and status.

Step 4: View Location History

Click Location History on the device card to see a timeline of where the device has been. Locations are plotted on the map as a trail with timestamps. Filter by date range to see movement patterns.

Step 5: Activate Lost Mode

If a device is missing, click Mark as Lost on the device card. Configure:

  • Lock screen message — e.g., "This device belongs to Lincoln Elementary. Please call (555) 123-4567."
  • Contact phone number — displayed on the lock screen
  • Play sound — optionally play an audible alert

Click Activate Lost Mode. The device will immediately lock and begin reporting its location every 5 minutes.

Step 6: Track and Recover

Monitor the device's location on the map. Share the location link with staff members who can retrieve it. The lock screen cannot be bypassed.

Step 7: Disable Lost Mode

Once the device is recovered, click Disable Lost Mode. The device unlocks and returns to normal operation. All work and settings are preserved.

Tips

  • Enable geofence alerts under Settings → Alerts → Geofencing to get notified when devices leave school grounds
  • GPS provides ~3 meter accuracy outdoors; WiFi ~15 meters indoors; IP geolocation ~1 mile as a fallback
  • Lost Mode works on all platforms: Chromebooks, iPads, Macs, and Windows devices
  • Location data is subject to your data retention policy

FAQ

Q: How often does KyberGate update device locations? A: Every 60 minutes during normal operation. Every 5 minutes when Lost Mode is active.

Q: Does location tracking work when the device is offline? A: No. The device must be connected to the internet. The last known location is always available. If a lost device comes back online, it immediately starts reporting again.

Q: Can students disable location tracking? A: On managed/supervised devices, no. The KyberGate agent maintains location reporting as long as the device is enrolled.

Q: What happens to the student's data during Lost Mode? A: Lost Mode only locks the screen — it does not erase or modify any data. All files, apps, and settings are preserved.
